GuideOOC

How Skaafin works: first steps for every role, how-tos, questions and the words it uses.

Getting started

How-tos

Adding items to your catalogue
Pick items from your Hold's list, or add your own.
The price adjuster
Raise or lower many prices at once, with a preview and a one-tap undo.
Adjusting and moving stock
Add or remove stock by hand with a reason, or move it between containers.
Connecting a Discord channel
Post what happens in your organisation to a Discord channel.
Creating or editing a rank
Name a rank, choose which rank it goes below and pick its permissions.
Importing from Google Sheets
Paste the sheet's link. It must be shared as "Anyone with the link can view".
Importing your spreadsheet
Bring in the items and prices you keep in Excel, a CSV file or Google Sheets. You check every row first.
Inviting someone
Send an invite link to add someone to your organisation.
Our page
How your organisation shows itself: sigil, banner, motto, description, hours and where to find you. Any character can see it if it's on.
Registering own items from above
Put an item a store keeps for itself on your list, and link the store's entry to it.
Sending an announcement
Reach everyone in your organisation, and everything below it.
Setting prices
Set what you sell at and buy at for one item.
Stocktake
Count what is really in a container, then let the app correct the books.
Setting up your store
Import what you have, start fresh with a few guided steps, or skip it and come back later.
Switching character
Play as another of your characters.
Convert a time
Type "6pm EST" or "18:30 CET" and see it in your own time zone and as a lore date.
Writing a letter
Letters go between characters and organisations.

Questions

Glossary

Alarm bell
A guard's bell: ring it and everyone in the guard is told at once, where and what. It stops after an hour, or when stood down.
Armoury
A faction's stock: the items it keeps, where they are, and how many. No prices or counter.
Audit log
A record of every change that isn't a trade: prices, ranks, members, settings.
Ban
Your staff won't trade with this person. Only someone who can ban may serve them anyway, with a reason.
Board
A place in the world where papers are pinned. Public boards can be read by anyone (and guards can take notices down); private ones only by members.
Books
An organisation's handbooks, guides and knowledge, in pages and sub-pages. Members read them; public books show on its page.
Bounty
A reward a Hold or a ruler posts for bringing someone in. Guards whose watch reaches see it; wanted posters make it public.
Business type
Where a business trades: a store has a building, a stall trades from a market stall in town, a trader has neither.
Calling card
What a character hands over in character, like giving a name. Clerks take it with the code on the card.
Capabilities
What an organisation may do at all, set by server staff. Ranks can only pass on what it holds.
Case
The record of a charge and its judgement: decided on the spot by a guard, or tried before a court. Private to them.
Characters
Who you play. Everything you do is done as one of your characters.
Citizenship
The Hold a character chose to belong to. It shows on their page and their calling cards.
Close match
A row whose name is nearly, but not exactly, an item's name. You confirm it or pick something else.
Coffer
Your organisation's gold ledger. Every entry is written by hand; the balance is the sum.
Coin received / paid
Tick it once coin has changed hands, with the amount. It is the only way a trade reaches the coffer.
Colour
One of eight colours for an organisation's identity: the ring round its sigil, the rule under its name, its banner band and its seal's wax.
Condition
How worn a weapon, armour or piece of clothing is, from Pristine to Broken. Stock and trades record it; prices follow it.
Container
A place where you keep stock, like a shelf, chest or cellar. Paperwork only.
Copies and sending documents
A copy is a new paper. Copied signatures and seals show under a "Copy" stamp. Letters can carry copies or the original.
Credit
What someone owes you, or what you owe them, written down by hand. Nothing goes on credit by itself.
Custom item
An item only your store uses. It isn't on any list, so the Hold won't buy it.
Digest
A daily or weekly summary from the Skaafin bot, in a channel or a DM.
Discord channels
Channels in your Discord where Skaafin posts what happens here.
Document
A piece of paper held by a character or an organisation. It can be copied, sent by letter and filed.
Document styles
How the paper looks: a plain note, parchment, official paper with the letterhead, or a ledger for tables.
Duty
A guard clocks on at a post and off again. Duty ends by itself after the guard's set hours.
Entitled to a trial
Nobility: someone a guard doesn't judge on the spot, but sends for trial before the court.
Exile
A Hold casting out a citizen, or barring a trader, for a reason and maybe until a date.
Faction
A group that isn't a place or a shop: the Guard, a guild, the Legion, even the Empire. Factions can have chapters.
Goods handed over / received
Tick it once the items have changed hands in game. It is the only thing that moves stock for a trade.
Governance
Creating organisations, appointing their heads and full control, over the organisations it reaches.
Guards
A faction with the Watch capability. Its ranks can act on public things in their Hold, like taking notices off public boards.
Haggling
Changing a price at the counter, within a limit your store sets. A reason is always asked for.
Handing a paper over in person
Give the original to someone standing with you, by their calling card code or a one-time code they type in. The printed number on a paper never claims it.
Head rank
The top rank. It always holds every permission and can only be renamed.
Hold
A region with a court, its own item list and the stores within it.
Hold buys at
What your Hold pays you for each of this item, and the smallest amount it takes.
Holding without a charge
A guard may hold someone in the cells for as long as the server allows before charging them. The app warns near the limit and at it.
Incident report
A guard's written record of what happened: what kind of incident, when, where, who was involved and in what part, what was found, and which laws were broken.
Item tags
Your own words on items (steel, one-handed, food), to filter and find them in the catalogue, stock and at the counter.
Known person
Someone your organisation knows of, by the name they gave you. Never linked to a real character.
Laws
The law book of a Hold or a ruler (or a guild's rules): enacted, amended and repealed, never erased.
Leaving play
Retire a character, or record that they died. You choose who gets their papers and who takes over their ranks.
Lore date
Today's date in the Tamrielic calendar, set up by server staff.
Low stock
An item is low when your total across all containers is at or below the level you set.
Manifests
A list of goods a business offers to sell to its Hold in bulk, at the prices the Hold buys at. The Hold approves, lowers or rejects it.
Materials
What one batch of an item takes to make, and how many it makes. Shows what the item costs you to make.
Movement
One line in the stock record, adding or removing some of an item in one container.
Notice
A paper pinned to a board. It's the same paper as in your files: pinning the original moves it, a copy leaves the original where it was.
Noticeboard
A Hold's page: notices, news, events, laws and a directory of the places in the Hold.
Notifications and push
Choose what reaches you in the app, as a push on each device, and on Discord.
OOC
Out of character: about you and the app, not your character.
Open for trade
Tell everyone the business is open now. It shows "Open now" on its page and posts to Discord, and closes by itself after a few hours.
Organisation
The server, a Hold, a store or a faction: one place in the tree, with its own members and ranks.
Oversight
Permissions that reach into every organisation below this one.
Ownership
One business or faction owning another, like a merchant house owning shops. The owner sees into what it owns; it doesn't run it.
Packs
A number of the same item sold together, such as a Bundle of 24 arrows. Stock is still counted in single items.
People I know
Your character's own book of people they know, with notes and tags. Only you see it.
Permissions
What a rank lets its holders do, such as changing prices or inviting people.
Public price list
The items you mark public, with what you sell and buy them at, on the open web. Stock only if you choose.
Ranks
A rank is a name, a place in the order and a set of permissions. Titles add more on top.
Ranks for new orgs
The ranks a new Hold or store starts with when it is created below this organisation.
Reference
Your own code for someone in your register, like a tab number. Search finds it, and no two people share one.
Reports to staff
Tell server staff privately about abuse, harassment, metagaming or cheating.
Ruling faction
The faction a Hold answers to, such as the Empire or a High King's court. One per Hold, set by server staff.
Scope
How far a reaching capability goes: everything below, chosen organisations too, or the whole server.
Seal
An organisation's seal pressed on a paper, or any other seal. The organisation's seal register lists what was sealed by those who keep it.
Security log
Failed sign-ins, rate limits and bursts of denied pages across the site, for site staff.
Sell and buy prices
“You sell at” is what customers pay you. “You buy at” is what you pay them.
Sentence
What a judgement orders: a fine, restitution, jail, forced labour, exile, or other words. Paid and served in game; recorded here.
Servers
Separate worlds on one site. Each has its own organisations, item lists, calendar and characters; nothing crosses between them.
Services
Work you sell rather than goods, such as repairs, sharpening or enchanting. A service has no stock and no condition.
Set aside
Stock on a manifest you sent to your Hold. It is still yours and still counted, but it is spoken for until the goods are handed over.
Settlement
A city, town, village or barony within a Hold, with its own noticeboard and, if it likes, its own court.
Severity
Low, Medium or High: a law may give a different punishment for each, and a charge picks one.
Sigil
An organisation's emblem. It heads its page and its letterheads, and shows in its seal's wax.
Signature
A name written at the foot of a paper. Signing fixes the text. You can sign with any name, as in game.
Site
The whole Skaafin install, holding several separate servers. Site staff create, rename and archive them.
Standalone stores
A shop that is a world of its own, apart from any server. It keeps its books, stock and customers, and nothing that needs other organisations.
Store
A trading business: its catalogue, prices, staff and records.
Store export
An out-of-character file of a store's catalogue, containers, stock, customers, ranks and money figures, for moving it to another world.
Taxes
A flat weekly tax a Hold (or a ruler) sets on the businesses under it, paid in person and recorded by hand.
The Skaafin bot
A Discord bot that answers price and stock questions, posts to your channels and sends you DMs.
The three item lists
The server's base list, a Hold's list and a store's catalogue.
The watch
Guards. An organisation with the watch acts on public things within its reach, never on anything private.
Titles
An office held on top of a rank, such as Quartermaster or Treasurer. It adds its own permissions.
Trade
A sale or purchase at the counter, with a receipt number. Goods and coin are confirmed separately.
Trader
A business with no stall or building. Anyone may open one, and it may join a Hold or leave it.
Unregistered and not on the Hold list
Why the Hold won't buy an item in your catalogue.
Verified
A business its Hold has recognised. Verified businesses are in the town directories, and can publish prices, send manifests and press their seal.
Warning
A note about someone in your register that shows at the counter. It never stops a trade.
Warrant
A court's paper that lets the guards it names search a business or a person, arrest someone, or seize goods. It opens nothing until a guard serves it in person.
Words
What an organisation calls things: its Treasury, its stores, its members. Inherited by everything below.
Writ
A paper that lets the people it names read some of one org's books for a few days. The org sees it and each time they did.
